As a volunteer-led community initiative, the aim of Serve the City is simply to meet the practical needs of people in our community. We seek to bring support to those who need it through a variety of service projects. By painting a room; clearing an overgrown garden; putting up shelves; providing cultural and social activities for asylum seekers and refugees; or befriending programmes, we demonstrate care within the community. We are part of an international movement of Serve the City organisations in over 50 cities worldwide.

What's Involved

Serve the City gets referrals from social workers, local authorities, concerned family members etc. on behalf of people who need practical/DIY help. This might include cleaning, painting/wallpapering, decluttering or gardening and are carried out by a team of volunteers, under the guidance of a DIY Project Leader on SERVE Days.

The majority of referrals come in via the website to our CRM system (Salesforce); hardcopy requests need to be entered manually. The DIY Administrator monitors the system for incoming jobs, allocates them to DIY Project Leaders, provides Client details and keeps the database up-to-date before and after SERVE days. Thus, the Administrator plays a key role in ensuring SERVE Days run smoothly. This role might be ideal for someone who is home-based, wants flexible volunteering or has limited mobility but still wants to be part of a team.

Tasks
•Check the inbox for referral requests; ensuring all information is complete and/or follow-up for additional information, where required.
• Log details of the project request onto the excel/Sharepoint "Pipeline" worksheet for the City Leader(s) to assess.
• Develop a calendar of SERVE days.
• Monitor the list of requests on the worksheet and check availability of Coordinator/DIY Project Leaders to carry out the SERVE projects.
• Mass email volunteers on the database with details of the SERVE Days (volunteers can sign up for volunteer shifts via their own personal site) and answer any queries; provide the DIY Project Leaders with the list of participating volunteers in advance.
• After a SERVE Day update volunteer records, send a thank you email and feedback form to the volunteers; provide a work update to the social worker/person who made the initial referral.
• Attend Project Leader/Administration meetings where relevant.

• Comfortable using databases and spreadsheets (training on our system will be provided)
• Good people and process skills.
• Strong attention to detail.
• Ability to keep on top of projects
• Commitment to the ethos of volunteering and community initiatives.
• Knowledge of data/protection GDPR (non-essential and training can be provided)

Location of volunteering opportunity:
Virtually / from home with meetings via Microsoft Office Teams/phone. Occasional meetings at Serve the City’s office in Terenure.
